Property Manager Job Description:

The Property/Office Manager is responsible for providing clients with top-tier customer service and excellence in management services. Real Property Management Pittsburgh relies on the Property Manager to demonstrate leadership and create trust with owners and
tenants (both current and prospective), as well as contractors and other vendors. The property manager will manage the time of any assistants. The Property Manager instills confidence in our services by taking world-class care of the properties we manage.

ESSENTIAL RESPONSIBILITIES:
  1. Hands-on management of property portfolio
  2. Management of Tenancy Applications and Agreements
  3. Maintaining regular, close contact with current tenants
  4. Conducting periodic inspections of managed properties
  5. Managing portfolio correspondence
  6. Preparing rental arrears tracker
  7. Executing appropriate actions against tenants in arrears
  8. Authorizing payment of client invoices
  9. Enter bills, receipts, notes, and other data into Appfolio
  10. Balancing of Business Operating Account
  11. Monthly owner draws
  12. Managing client insurance claims and payments
  13. Auditing monthly and yearly rental statements
  14. Performing rent reviews
  15. Conducting pre-vacating inspections
  16. Preparing outgoing property condition reports (inspection reports)
  17. Performing move-in inspections
  18. Providing for and following up with tenant utility and move-in checklist
  19. Completing all tasks through task management software
  20. Maintain and monitor vacancy log
  21. Assist clients in obtaining occupancy permits through local government
  22. Review lease expiration dates and execute lease renewals
  23. Listing properties for rent, communicating with vacancy specialists to find a new renter
  24. Attending and participating in-office meetings
  25. Attending and participating in training sessions as directed by the Manager
  26. Attend out-of-state training as needed
  27. Delegate to assistant
  28. Meet with clients in person as needed
  29. Adhering to all procedures required in this role
  30. Other duties as assigned

KEY ATTRIBUTES:

  3. Excellent communication and interpersonal skills with a customer service focus
  4. Ability to act and operate independently with minimal daily direction from the manager to accomplish objectives
  5. Proficiency with Outlook email, Google/One Drive, Microsoft Office, and Adobe applications
  6. Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies to maximize performance, creativity, problem-solving, and result
The Property Manager is highly organized with strong time management skills and an understanding of prioritization. Naturally driven to provide excellent customer service and to instill trust, the Property Manager is a natural communicator with good negotiation
skills, the ability to work independently, and a professional demeanor.

REQUIREMENTS:
  1. Basic accounting knowledge
  2. Local area knowledge
  3. Building maintenance knowledge 
  4. Computer proficiency
  5. Real Estate Sales License
  6. Competency in the following:
    • Residential Tenancies Act
    • Strata Titles Legislation
    • Property, Stock and Business Agents Act
    • Anti-Discrimination Act
    • Trade Practices and Fair Trading Acts
    • Certificates of Registration

  1. Minimum vacancy factor met
  2. Minimum rent arrears metrics met
  3. Established customer service standards maintained
  4. Monthly income targets met
  5. Timely and efficient accounting

Compensation: $41,600.00 - $52,000.00 per year
